How do Video Calls work?

 

As an advocate, you can decide whether or not to accept Video Call bookings from potential and contracted clients through your Profile Settings. When you have engaged this feature, your clients may choose to meet with you via video instead of a voice-only call. Read on to learn how to work with these call types!

 

Below is an image of what the client sees when scheduling a Video Call with you. Note that there phone number is also included in the booking in case you have any trouble connecting through the Video Call link:

 

The client is then shown the booking confirmation screen, pictured next:

 

**IMPORTANT NOTE: If you add this event to an external Calendar and send an invite to the client, any declined invites do not mean the call has been canceled. Let your Solace dashboard and officially branded Solace notification emails be your source of booking truth, and be prepared to attend the call based on your dashboard welcome page's reminder tile.

 

After the Video Call has been scheduled, you and your client will both receive Solace notification emails confirming the booking, and we'll also send out reminder notifications before the scheduled time. If a booking is rescheduled or canceled through Solace, your dashboard will reflect the change, and you will be sent a Solace cancelation email confirmation.

 

Pictured below:

  • Please use the ellipses in the lower corner of the booking reminder tile on your dashboard to make any formal changes to the call. When in doubt, reach out to your client through Solace's Messages area to communicate directly with them.
  • The reminder tile will display either "Intro-Call" or "Follow-up Call" below the client's name based on whether this is their first interaction with you or if they have an active contract.

 

In the booking reminder tile, there is a link that says, "Join By Video," which also contains the Information icon that will reveal some instructions when clicked. See those instructions here:

 

 

Next, be ready and standing by to click the "Join by Video" button on the date and time of the booking. Once clicked, the below box will open in a new window prompting you to "Join meeting." Here you can confirm your microphone and video settings, select a background, or view advanced settings. When ready, click the blue "Join meeting" button:

And then, you are officially attending the Video Call booking! In this example, James is fortunate enough to be meeting with the one, the only, the timelessly fabulous Cher!!

There are a few features built into the Video Call for added convenience, such as chat, emojis, and deeper setting preferences via the navigation bar at the bottom of the screen:

At the top center of the screen, a timer will show the time lapsed during the call. To the left is an edit icon. By clicking this icon, you have the option to record the call and highlight moments to revisit later:

When the call has ended, click the red hang-up box in the bottom center to leave the Video Call, and that's it!
