Below are a few details and FAQs regarding HIPAA and insurance-covered advocacy. The following information is available in the "Patient File" area of your Solace dashboard.
Along with the patient's Letter of Authorization signed by their referring clinician to reinforce your qualification as their advocate, you also have a Consent to Treatment form that is electronically signed by your patient when verbal consent is received during the Care Assessment/Intake appointment. Either may be downloaded as a PDF and presented to any provider. Both forms are shown below.
Accessing Patient Documents
To access the Letter of Authorization and Consent to Treatment forms, follow these steps and see the corresponding image below:
- Click "Patients" from your dashboard, followed by "My Patients"
- Then, click "Patient File" next to the patient you'd like to download the letter of authorization for
- Lastly, click the "Documents" tab within the patient's file and click on the document in question to view it fully
- This page contains assorted documents, which can be viewed electronically or downloaded as a PDF when needed
FAQs
Can I access patient information without explicit authorization?
- Yes, as part of the treating Solace Physician's team, you are authorized to access and share your patient's Protected Health Information (PHI) for treatment or coordination without HIPAA authorization.
Where can I find the treating physician's name for a patient?
- The treating physician's name is on the patient's file under "Care Team" for easy reference.
How can I verify my involvement with a patient?
- In the Documents section of the patient's file, you'll find a Letter of Authorization describing your involvement with the patient. This letter documents your role within the patient's care team.
- The patient's Consent to Treatment form can also be found here. It is electronically signed when consent was granted upon sign up, which is legally binding.
How should I identify myself to other healthcare providers?
- When communicating with healthcare providers, please state that you're working on the treating Physician's team with Solace Medical Group to ensure smooth patient care coordination.
What can I bill for?
- You can bill for any and all time spent working on behalf of, or with, your patient - from the time it takes to build your care plan and perform research to the time you spend communicating with the medical team and your patient/family. This includes no-shows; your time is valuable!
