Keeping Calendars Current & Blocking for Unavailability (Advocate/ICA)

An important part of the invaluable work you do to help others as an advocate is taking time off for yourself. Below are some suggested ways to block your Solace Calendar from receiving new bookings when unavailable.

 

1. "Add Event" to your Solace Calendar to block off the time range you will be away.

2. Adjust "Your Work Hours" via the Solace Calendar Settings to remove the hours and days of the week you have listed as available.

3. Sync your Google Calendar to your Solace Calendar. *NOTE that some Google Calendar settings are compatible with cross-brand syncing while others are not.

 

NOTE: We adhere to a 3-strike rule with cancelations, no-shows, and reschedules. It is critical to our work that your calendar is current at all times and that you are available to attend appointments on your calendar. 

 

Let's take a closer look at those three options

 

1. "Add Event" to your Solace Calendar to block off the time range you will be away.

  • From your left-hand navigational column, inside the "Tools" sub-category, click the "Calendar" option to bring up your Solace Calendar, pictured below. Click the green "Add Event" button to open the event scheduling tile. When you're ready, be sure to click "Mark as Unavailable" to save.
  • You will need to create an "event" for each day you are unavailable, but as a result, this method does not require any additional steps when you return to work.

 

 

2. Adjust "Your Work Hours" via the Solace Calendar Settings to remove the hours and days of the week you have listed as available.

  • From your Solace Calendar screen, click the "Settings" button in the upper right corner. This is where you can edit "Your Work Hours" (the days of the week and hours in the day when you are open and available to receive patient bookings):

  • To adjust "Your Work Hours," click the "Edit" button. You can checkmark which days of the week you are available, use the drop-down fields to set your specific hour range for any given day, and add (+) or delete (trash can icon) time slots where you are unavailable, pictured here. Be sure to always "Save Hours" before leaving this screen!
  • Note that this option requires you to return to this screen when you're ready to begin accepting new bookings to add your days and hours of availability.
